The opportunity

A coffee-fueled 5K, built for Orlando.

Roasted Run is the social, no-pressure 5K where the finish line hits different — coffee and donuts, music, and good vibes. Central Florida is the perfect fit: a huge running community, year-round outdoor weather, and a coffee culture that's exploding. This proposal lays out the smartest weekend to launch, the best venue, what it costs, and how we fill it.

Course~2.5-mi paved lake loop → certified 3.1
FestivalFountain plaza for coffee, music, cornhole
LogisticsOn-site parking + restrooms; proven 5K site

Fueled by coffee

Brand creative — the finish-line energy we'll bring to Lake Baldwin.

Backups, if needed

Cranes Roost Park easiest to permit

Altamonte Springs. One city office controls park + plaza + streets; 200+ built-in speakers, garages, restrooms. Multi-loop ~1-mi course.

Blue Jacket Park biggest footprint

Baldwin Park. ~$2,475/day, ample parking + electricity for the largest vendor village; route onto the Lake Baldwin Trail.

The numbers

Budget & profit snapshot.

Ballpark estimates for a ~500-runner event. Real figures depend on field size and sponsorship — coffee/donuts should be largely sponsor-covered (in-kind).

Estimated costs

Park rental (Harbor Park)$800–1,600
Permits + sound + tents$400–900
Event insurance ($1M GL)$220–350
Timing + registration$700–1,800
Dri-fit shirts (~500)$1,500–3,000
Finisher medals (~500)$1,000–2,500
Bibs, signage, banners$450–1,200
Music / DJ$300–800
Coffee + donuts (aim: sponsored)$0–1,200
Tents/tables, photo, restrooms, misc$900–2,400
Estimated total$6,300–15,800

Revenue potential

At a blended ~$35 entry (early-bird → race-day), before sponsorship:

300 runners
~$10.5k
500 runners
~$17.5k
800 runners
~$28k

Profit potential at ~500 runners: ~$17.5k entries + ~$1.5–6k sponsorship − ~$8–12k costs ≈ ~$8–14k net, plus a warm-audience asset for Tampa.

Estimates to verify — planning ballparks, not quotes.

How we fill it

The growth engine.

Own channels

Build @roastedrun5k on IG/FB with a mascot-led video engine (Reels) for organic reach + a fun, shareable brand.

Cross-promotion

Tap Average Joe Run's audience + past Florida registrant list (with permission) to seed the Orlando crowd fast.

Paid ads

Meta ads across the Orlando metro, registration-optimized — start small, scale on what converts.

Local partners

Title coffee roaster + running stores + gyms; coffee/donuts in-kind, cross-promo to their audiences.

Email

EmberEventCo eblasts: launch / early-bird → medal reveal → coffee-partner announcement.

Funnel

roastedrun5k.com Orlando page + RunSignUp registration + the "What's Your Roast?" quiz for lead capture.

Good vibes, strong legs, strong coffee
The runway

From green-light to race day.

~20 weeks, working back from Nov 7. (Shifts with the chosen date.)

1
Now → July — Lock & launch. Confirm date, secure Harbor Park + file the City permit (≥60 days out), stand up social, open registration with early-bird pricing.
2
Aug → Sept — Build the crowd. Consistent content + mascot videos, lock the title coffee + donut partners, cross-promo to the FL list, first Meta ads.
3
October — Ramp. Scale ad spend + retargeting, recruit volunteers, lock vendors + deposits, plan packet pickup, order shirts/medals.
4
Race week (Nov 1–7) — Execute. Countdown content, final push, packet pickup, set-up, and a great morning.
5
After — Compound it. Recap + photos + testimonials, then carry the momentum straight into Tampa.
